OptimizeCore LLC (“Optimize Core”, “we”) provides AI and automation consulting to businesses. This policy explains what we collect about visitors, prospects and contacts.
It does not cover client data we process during an engagement. That is governed by the Statement of Work and any Data Handling Addendum signed with the client, and the client — not Optimize Core — decides how that data is used. If you are an employee or customer of one of our clients and have a question about your data, contact that company.

§2 What we collect, and why

We do not collect special-category or sensitive personal information about prospects, we do not knowingly collect anything from children, and our services are not directed to children.
This website
This site sets no cookies of its own and runs no analytics, advertising or tracking scripts; the embedded Calendly calendar is the one third-party service on the page that may. Our hosting provider keeps standard server logs — IP address, pages requested, browser type and time — for security and operations, and we do not use them to identify you.
The booking calendar on this site is embedded from Calendly and loads with the page. It operates under Calendly's privacy policy and may set its own cookies. What you enter into it is sent to Calendly and to us. You can book on Calendly's own site instead if you prefer.
Fonts are served by Google Fonts, which receives your IP address when the page loads, under Google's privacy policy.
§3 Recording calls
Our calls are recorded and transcribed. A meeting notetaker joins every discovery and working call so that notes are accurate and nothing you tell us is lost or misremembered. We say so at the start of each call, and by continuing you consent to the recording. If you would prefer not to be recorded, tell us before the call by replying to your booking confirmation and we will agree an alternative format.
Recordings and raw transcripts are kept for the engagement plus six months, then deleted. The written notes we derive from them are kept with the engagement record.
§4 Who we share it with
We do not sell personal information, and we do not share it for cross-context behavioural advertising.
We use service providers who process it on our behalf, under contract and only to provide their service to us:

A current list is available on request. We also disclose information where required by law or legal process, to protect our rights, or to a successor in a business transfer.
AI systems. We use AI to help analyse information and draft documents, including material you send us. The services we use are configured so that your content is not used to train their models. A human reviews everything before it reaches you. If you would prefer your material not be processed this way, tell us — we will say honestly whether we can do the work without it.
§5 Where it is processed
In the United States. Our service providers are US-based and process primarily in the United States. If you are outside the US, sending us information means it will be processed there.
§6 How long we keep it

§7 How we protect it
Encrypted devices, multi-factor authentication on every account, access limited to what is needed, and credentials held in a credential store rather than in files. We do not hold any security certification and do not claim one. No system is perfectly secure; if we confirm a breach affecting your information, we will tell you without undue delay.
§8 Your choices
Whatever your location, you can ask us to:
- tell you what we hold about you
- correct it
- delete it — subject to records we must keep for tax or contract reasons, which we will identify
- stop emailing you — reply “unsubscribe”, or use the link in any marketing email
- decline recording — tell us before a call and we will arrange an alternative format
Email bcherry@optimizecore.ai. We will respond within 30 days and will not treat you differently for asking. We may need to verify who you are before acting on a request.
We do not sell your personal information or share it for targeted advertising, so there is nothing to opt out of on either count.
If you are in the EU or UK, you may also have the right to object to or restrict processing, to data portability, and to complain to your data protection authority. Our legal basis is our legitimate interest in operating and marketing a B2B consultancy, performance of a contract, and consent where we ask for it (such as call recording).

We will update the date at the top when this changes. Material changes will be flagged on this page.
